Managing Files and Folders in a Project's Downloads Area

If you are an administrator for a project that has a Downloads area, you can upload files, create folders, delete files and folders, edit their names, and so on. This page describes how to work with a Download area's files and folders.

Additionally, you can manage the Downloads feature itself, doing things like renaming the area, removing it, and changing role permissions for actions like downloading files and uploading, editing, and deleting files. Adding a File to the Downloads List

If you have a role on the project that permits you to upload files to the Downloads list (by default, Project Administrator), you'll see Add File for Download on the left above the list of files, as shown in the following figure:

Note: Uploading files for download is not the way to get graphics files on the site for your wiki pages. To do that, you need to have a wiki page open and click Manage Images in the left navigation area as described in Uploading a Graphics File for a Wiki.

To add a file to the list:

  1. If necessary, navigate to the Downloads folder where you want the file uploaded.
  2. Click Add File for Download to open the upload dialog. The following figure shows that dialog with the fields filled in for a file for the Bluebird project.


  3. For the Select File field, you can click Browse to navigate to the file you want to upload. This field is required.
  4. In the Title field, enter up to 100 characters. This field is required. This name is displayed as a link in the Downloads list and must be unique for the list.
  5. In the Description field, enter up to 200 characters of text describing the file. This field is required.
  6. Optionally, in the Tags field, enter search terms that users can use to find the download.
  7. Click Upload to transfer the file to the server.
  8. Check the top of the dialog for the results of the upload. If a problem was encountered during the upload, you'll see an error message similar to the following:

  9. After your file starts uploading, you can immediately reuse the Add File dialog. You see the Upload button at the bottom change to Upload More.
  10. Browse for a new file to upload and enter a new title and description. The fields don't change until you enter new information, so be sure to update them before uploading again.
    Note: This feature is especially useful if you are uploading large files that take a while to transmit.
  11. When you're finished with uploading files, click the Done button to dismiss the dialog.

Adding a Folder to the Downloads List

If you have a role on the project that permits you to add folders to the Downloads list (by default, Project Administrator), you'll see Add Folder above the list of files, as shown in the following figure:

To add a folder:

  1. Click Add Folder to open the folder dialog. The following figure shows the dialog.



  2. In the Folder Name field, enter up to 100 characters. This field is required. This name is displayed as a folder in the Downloads list and must be unique for the list.
  3. In the Folder Description field, enter up to 200 characters of text describing the folder. This field is required.
  4. Optionally, in the Tags field, enter search terms that users can use to find the folder.
  5. Click Add Folder to create the new folder.

Editing a File or Folder in the Downloads List

First, display the Downloads list as described above. If you have a role on the project that permits you to edit files and folders in the Downloads list (by default, Project Administrator), you'll see Edit and Delete actions to the right of each file and folder in the list, as shown in the following figure:

To edit a file or folder:

  1. Click Edit. A dialog similar to the following one opens:



  2. Edit any of the fields and then click Update.

Deleting a File from the Downloads List

First, display the Downloads list as described above. If you have a role on the project that permits you to delete files in the Downloads list (by default, Project Administrator), you'll see Edit and Delete actions to the right of each file in the list, as shown in the figure under Editing a File or Folder in the Downloads List.

To delete a file, click Delete, then click OK in the confirmation dialog. The entry will be removed from the Downloads list.

Getting Downloads Data

First, display the Downloads list as described above. If you have permission to see download data for your project, you will be able to click View File Downloads Summary.

When you click View File Downloads Summary, you see a page that shows you all the files that have been downloaded from your project's downloads area. The page shows you how many download attempts have been made for each file in total, plus how many were for the last week and month. For each file, you see the percentage of all downloads that the total download number represents for your project.
